Prepare a structured workbook, check its data and systems, then create accounts and save their results.

Use Mass User Create when a spreadsheet defines new accounts, their target clients, roles and parameters. Start with the supplied workbook instead of constructing its layout from memory.

Obtain the example workbook

Open Mass User Create, then choose Help → Save Example Mass User Create Spreadsheet. Save a working copy and review its Vertical and Horizontal examples before entering your account data.

The supplied workbook includes a Your Sheet starting worksheet and header drop-down choices. Use those choices to preserve supported field names. Help → View Help opens this guide. If your installed version opens a local help window instead, you can use this website directly.

The related Word template is available under Help → Save Example MS Word Mail Merge. It is a separate document for processing result data, not a prerequisite for creating users.

Choose a layout

Vertical works when users in a batch share roles and parameters. Horizontal gives each user its own role and parameter columns. Put the chosen format in cell A1 and follow the example workbook’s batch separators and headings.

Open and check

  1. Choose File → Open and select the workbook.
  2. Select the worksheet you intend to process.
  3. Run Check → Format & Systems.
  4. Read the highlighted cells and Messages tab. Correct the reported problems.
  5. Run the check again after editing the sheet.
  6. Confirm that the SAP system checks succeed before creating accounts.

The spreadsheet is editable within userXpress. Use File → Save or Save As.. to retain your changes. A valid spreadsheet layout does not by itself prove that every target SAP operation will succeed.

What the check covers

The format/content stage checks the layout marker, required fields, duplicate headings, system/client identifiers and coded preference values. It reports warnings for omitted last names and relevant password choices. In a Horizontal sheet, only the documented repeatable assignment columns may be repeated.

After format checks succeed, the system stage checks connections and target data: whether accounts or aliases already exist and whether the requested roles, profiles, parameters, output devices, reference users, user groups and security policies are available. Correct the reported issue in its target client or worksheet rather than assuming a value valid in one client exists in another.

Find a reported cell

Hover over a column heading for entry guidance, or over a highlighted cell for its message. Open Messages → Show to inspect the complete message list. Double-click a message with a cell reference to move to that cell, correct the value and run Check → Format & Systems again.

Use Messages → Export to save the current messages to an Excel workbook. Keep it with the input and result evidence when investigating a failed run. Review account data before sharing any export.

Create accounts

Choose Accounts → Start or Create Users after the checks have completed successfully. Watch the status and messages at the bottom of the window.

Accounts → Pause pauses processing after the current account operation reaches its pause point. Resume through the creation control. Accounts → Stop stops further processing; it does not undo accounts already created.

Stopping can also take until the current account operation finishes. Review the result worksheet produced for work already done before deciding what remains.

Save and review results

The workflow creates a results worksheet with account and target-client information, including initial passwords where available. Save the workbook and review the result for each account.

Protect the results workbook as credential material. Follow your organization’s approved account-notification process. If you use the example mail-merge document, preview each recipient and the merged fields before sending.

Use File → Close to close the current workbook and respond to any save prompt, or File → Exit to leave the Mass User Create window. Saving the input alone does not save a result sheet generated later; save again after reviewing the results.
